Magnis UD Pretoria East, part of Motus Corporation, is seeking a detail-oriented and highly organised Administrator: Dealer Warranty to join its Service Department. Reporting directly to the Service Manager, the successful candidate will be responsible for the accurate and timeous processing of warranty claims in accordance with company policies and distributor guidelines.
This role is ideal for a candidate with strong administrative skills, a solid understanding of motor industry processes, and the ability to work accurately under pressure.
Role Purpose
The primary objective of this position is to ensure that all warranty claims are processed correctly, submitted within required timelines, and compliant with OEM and company standards. The role requires strict attention to detail, sound knowledge of costing procedures, and the ability to manage warranty documentation efficiently.
Key Responsibilities
Warranty Administration and Processing
- Process warranty claims accurately and timeously in line with Company Policy and Procedures
- Submit claims according to OEM standards and specified timelines
- Obtain correct and complete information regarding customer complaints and causes of defects
- Collect and verify all relevant documentation required for claim submission
- Assess vehicle eligibility for warranty work prior to submission
- Ensure all claims are aligned with distributor guidelines
Documentation and Job Card Control
- Pair invoices, outwork invoices, and orders to respective job cards
- Perform calculations within the correct mark-up parameters
- Ensure all repair orders are signed by the vehicle owner
- Verify that technicians’ work records are completed accurately
- Check recorded technician clock times for accuracy
- Confirm parts supplied with the Parts Department and ensure Service Advisor sign-off
- Handle invoicing and mark-up procedures correctly
Claims Monitoring and Reporting
- Maintain and monitor the claims register
- Check the suspense file daily and follow up where required
- Control claims status and report updates to the Service Manager
- Ensure payment for submitted claims is received and recorded
- Manage and control the warranty parts claim store
- Confirm that warranty parts are correctly tagged and stored daily
Additional Duties
- Clear accounts with debtors in advance where applicable
- Ensure claim tags are attached to parts and forwarded within required timeframes
- Attend all training courses conducted by the distributor
- Assist with additional reasonable duties as required by management
Minimum Requirements
- Grade 12 (Senior Certificate)
- Minimum of 3 years’ experience in Warranty Administration
- Motor industry experience is highly advantageous
- Strong computer literacy
- Excellent verbal communication skills
