Core Purpose
To manage and maintain accurate debtors records, oversee accounts receivable processes, and support leasing administration functions to ensure smooth financial and operational performance within the organisation.
Key Responsibilities
1. Debtors & Accounts Receivable Management
- Maintain and manage debtor accounts, ensuring all transactions are recorded accurately
- Monitor outstanding balances and follow up on overdue accounts
- Process invoices, receipts, and account reconciliations
- Ensure timely collection of payments while maintaining positive client relationships
- Investigate and resolve discrepancies in accounts
2. Leasing Administration Support
- Assist with lease agreements, renewals, and tenant documentation
- Capture and update tenant information on property management systems
- Ensure lease terms are accurately reflected in financial records
- Support the coordination of lease-related processes and compliance
3. Financial Record Keeping & Reporting
- Maintain accurate and up-to-date financial records
- Prepare debtor reports and assist with financial analysis
- Ensure all documentation is audit-ready and properly filed
- Support month-end and year-end financial processes
4. Systems & Data Management
- Work with property management systems such as MDA, MRI, PropCo, or similar platforms
- Capture financial data accurately into systems
- Generate reports and track financial performance using Microsoft Excel
- Ensure data integrity and consistency across all platforms
5. Client & Stakeholder Interaction
- Communicate professionally with tenants, clients, and internal stakeholders
- Address queries related to accounts, payments, and lease agreements
- Maintain strong working relationships to support business operations
6. Compliance & Process Improvement
- Ensure compliance with internal financial policies and procedures
- Adhere to accounting standards and regulatory requirements
- Identify areas for process improvement within debtors and leasing functions
- Contribute to efficient and streamlined administrative processes
Minimum Requirements
- Grade 12 (Matric) – essential
- 3–5 years’ experience in debtors and/or leasing administration
- Strong understanding of accounts receivable processes
- Experience within the property industry (preferred)
Advantageous Qualifications
- Diploma or Certificate in Finance, Accounting, Property Management, or related field
- Experience working with property management systems (MDA, MRI, PropCo, etc.)
- Advanced proficiency in Microsoft Excel and MS Office
