Role Overview

A well-established and fast-paced property-focused organisation is seeking a Debtors & Leasing Administrator to join its finance team in Durban. The successful candidate will support both accounts receivable functions and leasing administration, ensuring accurate financial records, efficient tenant account management, and smooth leasing operations.

Core Purpose

To ensure accurate management of debtor accounts and efficient leasing administration processes within a property environment, supporting financial stability, compliance, and operational efficiency.


Key Responsibilities

1. Debtors Management (Accounts Receivable)

  • Maintain accurate tenant debtor accounts and financial records
  • Process rental billing and monthly invoicing
  • Monitor outstanding balances and follow up on overdue accounts
  • Reconcile tenant statements and resolve discrepancies
  • Prepare debtor aging reports and collections updates
  • Liaise with tenants regarding billing and payment queries
  • Support credit control processes to ensure timely collections

2. Leasing Administration Support

  • Assist with lease agreements, renewals, and amendments
  • Ensure accurate capture of lease data into property systems
  • Maintain up-to-date tenant lease records and documentation
  • Support onboarding of new tenants from a financial administration perspective
  • Ensure lease terms align with billing and financial records

3. Property Management Systems & Data Accuracy

  • Work on systems such as MDA, MRI, PropCo or similar platforms
  • Ensure accurate capture and updating of tenant and lease data
  • Maintain data integrity across financial and leasing systems
  • Assist with reconciliations between systems and records

4. Financial Reporting & Reconciliations

  • Assist with monthly debtor reporting
  • Perform reconciliations between tenant accounts and financial systems
  • Support audit requirements through accurate record keeping
  • Provide financial data to support management reporting

5. Stakeholder Communication

  • Communicate with tenants regarding account queries and payments
  • Liaise with internal teams such as leasing, property management, and finance
  • Ensure timely resolution of tenant queries and disputes
  • Maintain professional communication with all stakeholders

Minimum Requirements

  • Grade 12 (Matric) – essential
  • Diploma or Certificate in Finance, Accounting, Property Management, or related field (advantageous)
  • 3–5 years’ experience in debtors and/or leasing administration
  • Property industry experience preferred
  • Strong understanding of accounts receivable processes

Technical Requirements

  • Proficiency in Microsoft Excel and MS Office
  • Experience with property management systems (e.g. MDA, MRI, PropCo or similar)
  • Strong numerical accuracy and reconciliation skills
  • Knowledge of debtor management and leasing processes
  • Ability to manage financial data with high attention to detail
