Role Overview
A well-established and fast-paced property-focused organisation is currently seeking a Debtors & Leasing Administrator to join its finance team. This role is ideal for a detail-oriented individual who enjoys working with financial records, managing tenant accounts, and supporting leasing operations within a structured and professional environment.
The successful candidate will play a crucial role in ensuring accurate financial administration, maintaining debtor accounts, and assisting with leasing processes that contribute to the smooth running of property operations.
Core Purpose
To manage debtor accounts efficiently, support leasing administration, and ensure accurate financial record-keeping while contributing to effective property management operations.
Key Responsibilities
1. Debtors Management
- Maintain and manage accounts receivable records accurately
- Monitor outstanding payments and follow up on overdue accounts
- Reconcile debtor accounts and resolve discrepancies
- Ensure timely invoicing and allocation of payments
- Prepare debtor reports and aging analysis
2. Leasing Administration
- Support leasing processes, including tenant onboarding and documentation
- Maintain lease agreements and ensure records are up to date
- Track lease renewals, expiries, and amendments
- Assist with rental billing and adjustments
3. Financial Record Keeping
- Ensure all financial transactions are accurately recorded
- Maintain proper filing systems for financial and leasing documents
- Assist with monthly financial reporting processes
- Support audits by providing required documentation
4. Systems & Data Management
- Capture and manage data on property management systems such as MDA, MRI, or PropCo
- Maintain accuracy of tenant and financial information on systems
- Generate reports for management review
5. Client & Stakeholder Communication
- Communicate professionally with tenants regarding accounts and payments
- Liaise with internal departments such as finance and property management
- Provide support in resolving tenant account queries
6. Compliance & Process Adherence
- Ensure adherence to company financial policies and procedures
- Maintain confidentiality of financial and tenant information
- Support compliance with property and financial regulations
Minimum Requirements
- Grade 12 (Matric) – essential
- Diploma or Certificate in Finance, Accounting, Property Management, or related field (advantageous)
- 3–5 years’ experience in debtors and/or leasing administration (property industry preferred)
- Strong understanding of accounts receivable processes
- Experience with property management systems (MDA, MRI, PropCo or similar)
- Proficiency in Microsoft Excel and MS Office
