Job Overview

Ellahi Consulting is seeking a highly organised and detail-driven Key Accounts Sales Administrator for a company operating in the import and export seafood industry, based in Paarden Eiland.

The successful candidate will play a critical support role in managing key client accounts, ensuring smooth order processing, accurate administration, and effective coordination between customers, logistics, procurement, and internal departments.

This role is central to maintaining strong client relationships and ensuring efficient service delivery within the foodservice and seafood distribution environment.


Working Hours

  • Monday to Friday: 08:00 – 17:00
  • Occasional Saturdays may be required
  • Flexibility required due to operational demands

Key Purpose of the Role

To provide end-to-end administrative and operational support for key account sales, ensuring accurate order processing, effective communication, and seamless coordination across supply chain and internal business functions.


Key Responsibilities

Order & Account Management

  • Process customer orders for key accounts (including six direct accounts)
  • Monitor order progress from placement through to delivery and GRV confirmation
  • Track stock availability daily and communicate shortages to management
  • Manage stock rotation, short-dated stock, and low-volume stock items

Logistics & Supply Coordination

  • Coordinate delivery bookings and time slots for all key accounts
  • Liaise with logistics partners to ensure timely deliveries
  • Follow up on delivery issues and resolve discrepancies
  • Work closely with cold storage teams regarding loadings and special requests
  • Monitor shipments and follow up with procurement teams

Customer & Stakeholder Communication

  • Act as a communication link between clients and internal departments
  • Handle customer queries, complaints, and order-related issues promptly
  • Communicate delivery updates and non-delivery explanations to clients
  • Support key account managers with client communication and follow-ups

Financial & SAP Administration

  • Update pricing on customer accounts and ensure SAP pricing accuracy
  • Assist with SAP reports and system updates
  • Raise purchase orders for local purchases and deliveries
  • Assist finance with credit-related queries and resolutions
  • Complete PRNs, stock transfers, and sales reporting documentation

Reporting & Administration

  • Prepare and compile reports using Excel and PowerPoint
  • Maintain accurate records of sales, stock movement, and deliveries
  • Assist with stock tracking systems and alert management to risks
  • Complete internal and external account onboarding documentation

Additional Duties

  • Assist with sample preparation and promotional dispatches
  • Support distribution centres (e.g., Vector, Digistics) as required
  • Provide administrative support to the foodservice department when needed
  • Cover duties for team members during leave periods
  • Perform general administrative tasks as required

Minimum Requirements

  • Grade 12 (Matric)
  • Minimum 2 years’ experience in an administrative or sales support role
  • Strong computer literacy (MS Office – Excel essential)
  • SAP experience advantageous
  • Excellent telephone etiquette and communication skills
